Executive assistant receptionist M/W

Join a dynamic financial institution in Luxembourg for a new challenge in secretary
Our client is looking for an executive assistant and receptionist for a permanent contract.

The candidate provides onsite reception cover such as welcome people, track office presence, post usw.
He prepares in a timely manner several monthly expense reports.
He verifies claims are compliant with Company policy guidelines.
He processes invoices new suppliers.
He prepares multiple documents such as dashboards, logs and translation of correspondence.
He supports local reporting and project with documentation.
He assists new joiners with business cards.
He acts as a facilities coordinator.
He acts as a back-up to Luxembourg office during holidays.

As a support to the CEO, Sales team and any other identified team members, he manages extensive calendar of agreed senior management to include:

Coordination of both internal and external meetings
Liaise with senior clients and senior management/their EAs. At times in different/multiple time zones
Move or re-arrange meeting conflicts
Verifies all relevant meeting information is provided
Print documentation in advance as required
Organise business travel using the NEO online booking tool
Liaise with American Express over the telephone for more in-depth/multi destination bookings and add all travel bookings to calendar
Book client lunches and events

The ideal candidate is fluent in English and French (both spoken and written).
Similar experience is required, especially in a banking or financial services sector.
He is proficient in MS office tools.
He is proactive and service-oriented with good communications skills.
He is able to work under pressure and meet deadlines.
He has good organisational skills and pays attention-to-detail.
