Projects- administrative assistant M/F

Our client, an European Institution, is looking for an Administrative Assistant who speaks English fluently and who has intermediate level of French. This is a temporary contract and a full-time position.

The candidate prepares standard correspondence; proofs-reading and edits texts in English and/or finalises reports, notes (SmartNotes), letters, contracts and other documents prepared by the team.
He coordinates business trips, takes care of travel arrangements (including visa applications and making online bookings) and checks and submitts travel expenses for team members.
The candidate organises meetings and prepares minutes if needed.
He manages team members’ agendas.
The candidate ensures timely distribution of documents.
He maintains internal databases and extracts data.
The candidate assists contact persons in the filing and procedural completion of procurement requirements for projects outside the EU.
He files notes, reports and documentation related to project data and sector studies; and archives as needed

The candidate has a secondary level education, completed with a 2 year certification in a relevant field (secretarial studies, business administration) or secondary level education with equally qualified experience in a relevant field.
He has at least 3 years of relevant professional experience as an Administrative Assistant or a Project Assistant.
The candidate has good knowledge of the standard computer tools (Word, Excel, Powerpoint). Knowledge of Serapis and Business Objects would be an advantage.
He has excellent knowledge of written and spoken English and good knowledge of French.Knowledge of other EU languages would be an advantage #1298318
